How to Volunteer with GitNation team

Greetings from GitNation team! We are tech event organizers around Europe, UK and the USA.

Participating in our events as a volunteer is a great way to get to know your industry colleagues & gain valuable experience working at a dynamic event, while also having access to informative talks and other exciting opportunities.

Volunteer Activities

Learn more about our volunteering activities below. You can pick several interesting areas you’d like to explore while filling in the form.

  • Build-up day

We have a build-up day one day before the conference. During it volunteers help us to prepare the venue for the conference (set navigation tools, set up roll-ups and banners, disseminate badges, gather goodie bags for attendees). Also we have a short training with the opportunity to know the venue better before the conference.

  • Registration area

Registration volunteers greet attendees, answer questions, and distribute conference badges with goodie bag items.

  • Navigation

Navigation position provides the latest information on sessions, assists with navigating participants and speakers around the venue, provides general conference information, lost-and-found, and welcomes those attending the conference.

  • Speakers Coordination

Volunteers greet speakers, navigate to the Speaker’s Lounge, help them with everything and ensure that they are on stage on time. As well you need to make sure that the speaker attends the Speakers QnA room/corner on time after giving a talk.

  • Stage Management

Volunteers support our stage AV team in a variety of ways to ensure successful conference sessions & talks.

  • Speakers QnA Room Coordination

Volunteers ensure that the QnA session with a speaker starts on time, as well as remote attendees could ask questions with in-person attendees (second half of the day)

  • Discussion Room Facilitation

Volunteer helps to prepare the space before the discussion starts, ensure the speakers and facilitator come on time and remote attendees can listen to discussions and ask questions.

  • Workshops/ pre-party organization (1 day before the conference)

We organize workshops and pre-party activities 1 day before the conference. We also need help from volunteers to ensure smooth flow of the prepared activities.

  • Hangout days

After the main conference day, sometimes we have a hangout day for attendees. In this case we’ll need support with managing people during planned activities ( for instance, help with navigation during boat/walking tours in Amsterdam).

  • Will we have time to listen to talks?

We have shifts for volunteers, so you will definitely have enough time to take a rest, listen to talks, or network with attendees. It’s important that you will be able to do that in breaks between your volunteering activities.

  • Will I have the access to talk recordings after the conference?

Sure, after successful completion of your volunteering activities we’ll provide you with a 6 months free access to GitNation portal, where we have all talk recordings from all our conferences.

  • Do you cover travel and accommodation costs?

We cover drinks and food during the build up day and the conference days, but we do not cover travel and accommodation. Sometimes we can offer discounts for partners hotels closer to the event space. You can also connect with other volunteers to get a free sleeping place.

  • How do I know if I am selected as a volunteer?

First of all, you need to fill in this form.You will receive an email notification if you’re selected.

  • What is the deadline to apply as a volunteer?

Usually, it’s 1-1,5 months before the conference, as we organize online trainings to ensure the volunteers get important information before each event.

  • Which trainings should I complete before the event?

We organize 2 online calls before each in-person event. During the first call we share information about volunteering activities, as well as some basic org information. At the second call, we discuss and set up time shifts for all conference activities so that all volunteers know what they will be doing at each conference day.
